How does ExpenseBot track my Airbnb income and expenses?

Airbnb Bookkeeping in ExpenseBot

Your Airbnb payout emails already contain every booking and payout. ExpenseBot reads those emails from the Gmail account you connect and builds an income and expense ledger in your own Google Sheet — so you stop copying numbers off the Airbnb dashboard and your books are ready at tax time.

How income is tracked (by platform)

Expected payout tracking covers Airbnb, Turo, Vrbo/HomeAway, and Neighbor:

  • Airbnb — automatic. Expected payouts are tracked for you as they're confirmed. Income is recorded net of the platform's service fee, so it matches what actually lands in your bank rather than the gross figure on your 1099-K.
  • Turo, Vrbo/HomeAway, Neighbor — review-assisted. ExpenseBot asks you to confirm the booking first. Future payouts inform your weekly Pulse and are added to Income only after payment is confirmed.
  • Lodgify — safety-only. ExpenseBot helps prevent premature Income entries rather than tracking payouts.

More platforms are on our radar — tell us yours.

The expense side

The same Gmail scan captures your cleaning invoices, supply receipts, and platform-fee breakdowns, and you can log mileage to the property. Income and expenses land in one sheet, so the deductions are documented as they happen instead of being reconstructed in April. (For the full list of write-offs, see the Airbnb tax deductions checklist.)

Tax time

Because everything lives in your own Google Sheet, you can export income and expenses in a format ready for Schedule E or Schedule C (US) or Form T776 (Canada) for your accountant. This is educational, not tax advice — confirm your filing with your accountant.

Common questions

Can I host on more than one platform? Yes — bookings are tagged by source (Airbnb, Turo, Vrbo, HomeAway, Neighbor) so you can see income per platform. Airbnb is automatic; the others are review-assisted.

Co-hosts and historical bookings? ExpenseBot scans the Gmail account you connect, so payout emails that arrive there are captured. It can also scan back over past emails to build your income history for the current tax year.
