2 · What ExpenseBot does with it
Understand it
Every item is read by AI — vendor, amount, date, and tax extracted — then auto-categorized and checked for deductibility. Duplicates are removed across sources (the same receipt forwarded twice, or caught in both Gmail and a statement, collapses to one). Foreign spend is normalized into your home currency, a one-time personal-identifier wizard teaches the AI your card nicknames and merchants, and you can log a cash advance and deplete it expense-by-expense with a running balance.
Tie it together
ExpenseBot tracks income as well as expenses — paid invoices and deposits detected from your inbox and bank feed — so when both are present it builds a real profit-and-loss report automatically. Bank and credit-card reconciliation match your receipts against statement lines so nothing is missed and nothing is double-counted.
Watches your back
The part most expense apps skip. ExpenseBot reads your statements proactively to catch what you'd miss:
- Fee watch — flags bank fees and overcharges hiding in your statements.
- Subscription monitor — a monthly pass that surfaces price hikes and unused subscriptions still billing you.
- Quarterly-tax estimates — for freelancers, estimates instalment payments from your net income and notifies you before the due dates.
Report & export
Build a P&L, spending breakdown, mileage log, or year-end summary — plus persona-specific reports (Schedule C, per-property, per-production, per-employee). Everything exports to QuickBooks or Xero with categories and tax codes pre-mapped, and you can pull a ZIP of the underlying receipts. Prefer to ask in plain language? You can — see section 4.

Frequently asked questions
What can ExpenseBot actually do?
ExpenseBot turns the receipts and transactions scattered across your Gmail, photos, bank, and files into one organized, tax-ready report — automatically. It pulls expenses in from 13 different sources, reads each one with AI to extract vendor, amount, date, tax, and category, removes duplicates, reconciles against your bank and credit-card statements, and generates the reports you need at tax time. It tracks income alongside expenses, so it can build a real profit-and-loss picture, and it watches your statements for bank fees, subscription price hikes, and upcoming quarterly-tax payments. Accountants, teams, freelancers, landlords, and filmmakers each get a specialized view on top of the same engine.
How do my receipts get into ExpenseBot?
Thirteen ways, from fully automatic to one-tap manual. The automatic paths connect once and run forever: a nightly Gmail scan (up to 3 inboxes), a Plaid bank/card link that pulls transactions weekly, and login-protected portals. You can also forward receipts to receipts@expensebot.ai, apply a Gmail label, or email cash expenses with a cash: subject line. For photos, point ExpenseBot at your Apple Shortcuts/Siri, Google Photos, Google Drive, or iPhone camera roll. For documents, drag-and-drop PDFs, upload bank or year-end statements, or import a gig-platform CSV from Uber, DoorDash, or Instacart. Mileage is generated from a Google Maps route — no receipt needed.
Do I have to use Gmail to use ExpenseBot?
No. Gmail is the most powerful path — it scans your inbox overnight with no manual steps — but it's optional. You can forward receipts from any email account, upload PDFs and statements, snap photos with your phone, import from Google Photos or Drive, connect your bank via Plaid, or enter cash expenses by hand. Plenty of users run ExpenseBot entirely on uploads and bank feeds without ever connecting Gmail.
Does ExpenseBot track income too, or just expenses?
Both. ExpenseBot detects paid invoices and deposits from your inbox and bank feed alongside your expenses, and categorizes income by client, project, or source. When both income and expenses are present, it automatically generates a profit-and-loss report — your real take-home picture, not just a pile of costs. For freelancers it also estimates quarterly tax payments based on your net income and reminds you before the deadlines.
What reports can ExpenseBot generate?
A profit-and-loss statement, category and vendor spending breakdowns, mileage logs, year-end summaries, and persona-specific reports — Schedule C for freelancers, per-property reports for landlords, per-production cost reports for filmmakers, per-employee reports for teams. Every report exports to QuickBooks or Xero with categories and tax codes pre-mapped, and you can also export a ZIP of the underlying receipts. You can build and share any report from the dashboard, or ask for it in plain language through your AI assistant.
Can my accountant or bookkeeper use ExpenseBot?
Yes — there's a dedicated accountant mode. An accountant can invite clients, optionally cover their subscription, and work inside a client's account in 'act-as' mode to run scans and pull reports without ever needing the client's password. A multi-client dashboard shows every client's report status and outstanding issues in one view, and everything exports to QuickBooks or Xero. Bookkeepers and accounting firms get teaching resources and a cheat sheet to roll ExpenseBot out across their client base.
Can I use ExpenseBot from ChatGPT or Claude?
Yes. ExpenseBot publishes an MCP (Model Context Protocol) server, so you can connect it to Claude, ChatGPT, Cursor, or your own AI agent and run the whole thing in plain language — submit receipts, pull a P&L, and ask questions like 'what did I spend on travel in Q2?' You connect with a scoped access token you create in Settings and can revoke anytime; you choose which assistant links to your account. See the MCP page for one-click ChatGPT/Claude.ai setup and the full tool list.
Does ExpenseBot work for teams and businesses?
Yes. Team accounts add corporate-card management — assign cards to employees, track spend per card, and flag policy violations — plus seat-based access where an admin owns billing and each teammate gets their own expense view. Any report can be filtered by team member or department for reimbursement and review, and a license manager lets the admin invite, remove, and reassign seats without touching individual accounts.
