Quick answer: What's the best expense tracker for UK Self Assessment?
ExpenseBot captures receipts from your Gmail, phone photos, and uploads into a Google Sheet you own, separates the VAT on each one, and applies HMRC AMAP rates to your business mileage. At year end it produces a detailed Tax Form Summary and, for an exact reviewed sole-trader year, a Beta SA103F filing worksheet. It seeds supported boxes and marks choices that still need review. ExpenseBot does not submit Self Assessment or send MTD updates; confirm every figure with your accountant.

The UK Freelancer's Self Assessment Nightmare
Before ExpenseBot: The Shoebox Method
- Apr-Dec: Stuff receipts in a folder (or shoebox).
- January: Panic. Spend a weekend sorting a year's worth of paper before the 31 January deadline.
- Late January: Try to figure out which HMRC allowable expense category each cost falls under.
- Filing day: Realise you missed hundreds in VAT and allowable expenses from lost receipts.
- 31 January: File Self Assessment, hoping HMRC doesn't open an enquiry.
After ExpenseBot: The 5-Minute Method
Apr-Dec: Snap photos of receipts as you go. Let the AI handle the rest.
6 April: Create your UK Year-End report, review the VAT and expense totals, and open the Beta SA103F worksheet. Share it with your accountant or use it while filing.
A year-end summary that lines up with your Self Assessment
The UK tax year runs 6 April – 5 April, with the online Self Assessment deadline on 31 January. When your year closes, ExpenseBot's Year-End report produces a detailed Tax Form Summary: a worksheet that arranges your tracked income and expenses against SA103F (self-employment) concepts, so transferring the figures into your Self Assessment — or handing them to your accountant — takes minutes.
The Tax Form Summary is the broad tax analysis. For an exact year reviewed by ExpenseBot, eligible sole traders also get a separate SA103F Worksheet (Beta). It places supported figures beside their boxes and leaves accounting basis, trading allowance, disallowables, capital allowances, and other user-owned decisions clearly marked for review.
Beta filing handoff
Review every figure before using it in Self Assessment. ExpenseBot does not submit the SA103F or send MTD updates. If a figure or filing label looks wrong, stop and email support@expensebot.ai.
- Country-specific deduction guidance — the UK is one of the 43 countries ExpenseBot tailors guidance for.
- VAT separated when shown on a receipt or invoice; mileage handled at HMRC AMAP rates.
- Receipt images stay in your Google Drive for HMRC's record-retention window and remain available if HMRC asks for records.
- No automatic bank connection in the UK — capture is via Gmail, photos, uploads, and Drive (Plaid is US/Canada only).

A Record-Keeping Layer for Making Tax Digital
Making Tax Digital is HMRC's programme to move UK tax reporting onto digital, quarterly rails. It has two tracks you need to care about as a sole trader or small business: MTD for VAT and MTD for Income Tax Self Assessment (MTD ITSA). If you already run an expense tracker that feeds clean data into HMRC-recognised filing software, you're most of the way there. If you're still doing shoebox-and-spreadsheet, the 2026 deadline is coming fast.
MTD for VAT has applied to all VAT-registered businesses since April 2022 — regardless of turnover. You must keep digital records of every sale and purchase and submit VAT Returns through functional compatible software via HMRC's API.
MTD for Income Tax Self Assessment rolls out next. From 6 April 2026, sole traders and landlords with combined self-employment and property income over £50,000 must keep digital records, send HMRC a quarterly update, and submit a year-end final declaration through MTD-compatible software. The threshold drops to £30,000 from April 2027, pulling a much larger chunk of UK freelancers into scope.
What HMRC requires from your record-keeping layer:
- Digital records of every business income and expense transaction — no paper shoebox, no photocopied till rolls sitting in a drawer.
- Expenses categorised so they map cleanly onto your quarterly summary and year-end return (SA103 buckets for ITSA, VAT rate for VAT Return).
- Digital links between your record-keeping system and your filing software — data must flow electronically, not be retyped or copy-pasted.
- Records retained for the HMRC six-year window with supporting evidence (receipts, invoices) accessible on request.
How ExpenseBot fits the MTD picture. ExpenseBot captures receipts, organises transactions, and keeps source evidence in a Google Sheet inside your own Google Drive. That can make reconciliation and handoff easier, but it does not itself create the HMRC submission or certify that a transfer into another product meets the digital-link rules. Review your workflow with the HMRC-compatible software you use.
One important scope note: ExpenseBot is not HMRC-recognised MTD submission software. It does not send quarterly updates, VAT Returns, or a final declaration. Use HMRC's software finder to choose a compatible product for those steps.
"Overall, the simplicity makes this app a winner. I love the automation and little to no user intervention is required. The receipts are scanned and thrown into a sheet. I can review the sheet and make corrections if needed."

Frequently Asked Questions
How does ExpenseBot support UK tax record-keeping?
ExpenseBot keeps categorised expense records and linked receipt images in your Google Drive, provides UK deduction guidance and year-end summaries, and offers a reviewed Beta SA103F filing worksheet for eligible sole traders. It is not HMRC-recognised submission software and does not file Self Assessment or send MTD updates.
Does it track VAT automatically?
Where a receipt or invoice shows VAT, ExpenseBot captures it separately and includes totals for review. VAT eligibility, partial exemption, Flat Rate Scheme, and other treatments still need to be checked before a VAT Return or Self Assessment.
Does it use the current HMRC mileage rate?
Yes. ExpenseBot uses the HMRC Approved Mileage Allowance Payments (AMAP) rates — 45p per mile for the first 10,000 miles and 25p per mile after that. Rates are applied automatically when you log business mileage.
Can my UK accountant access the data?
Yes — and it's FREE for accountants forever. Share your expense reports with one click. Your accountant gets organised spreadsheets with every receipt attached, GL summaries, and Self Assessment-ready categorisation.
Does it help with Self Assessment?
Yes. The Year-End report organises tracked income, expenses, and receipt evidence using UK guidance. For an exact reviewed sole-trader year, it also adds a Beta SA103F filing worksheet with supported boxes seeded and unresolved choices clearly marked.
Does ExpenseBot send Making Tax Digital updates?
No. ExpenseBot is not HMRC-recognised MTD submission software and does not send quarterly updates, VAT Returns, or a final declaration. It organises records and receipt evidence that you can review alongside the compatible software you use to submit.
How can ExpenseBot fit into an MTD workflow?
ExpenseBot can be your receipt-capture and record-review layer. You still need HMRC-compatible software to create the required digital records and submit MTD updates and returns, and you should confirm that your transfer workflow preserves any required digital links.
Do I need to use Making Tax Digital software for self-assessment?
It depends on your qualifying income and start date. From 6 April 2026, some sole traders and landlords must use compatible software to create digital records and submit quarterly updates and their tax return. ExpenseBot is not that submission software; use HMRC's current guidance and software finder to choose the compatible product that completes those steps.
What's the best free expense tracker for UK sole traders?
A spreadsheet can be free but requires manual receipt entry and evidence filing. ExpenseBot offers a 60-day free trial, then a flat subscription for Gmail receipt capture, VAT extraction where shown, AMAP mileage, year-end reports, and the Beta SA103F worksheet. It does not replace HMRC-compatible MTD submission software.
Does ExpenseBot fill in my Self Assessment / SA103F?
ExpenseBot does not fill or submit the official SA103F PDF. For an exact reviewed sole-trader year, it adds a separate Beta SA103F Worksheet to your Year-End report, seeds supported boxes, and marks decisions that still need review. Confirm every figure before filing. If a Beta label looks wrong, email support@expensebot.ai.
Can I connect my UK bank?
Live bank and card connections are currently available only in the United States and Canada. In the UK you can still capture receipts from Gmail, photos, uploads, and Drive, and upload a statement for manual reconciliation.
