A client's Google authorization can expire, including after a Google password change or security check. When that happens, ExpenseBot pauses Gmail scans for that client instead of silently failing.
On the accountant dashboard, affected paid clients appear in two places:
- A red banner at the top of the client list names the client or clients who need to reconnect.
- A Send reconnect reminder action appears on the affected client's row.
Click Send reconnect reminder to email the client the correct Google reconnect link. Executive assistants see the same action for accepted people they manage. The client or executive must sign in to ExpenseBot with Google and approve Gmail access themselves because the authorization belongs to their Google account; an accountant or assistant cannot reconnect it for them.
ExpenseBot limits manager-triggered reminders to one per managed account every seven days, and the action only works while the account still has verified Gmail reconnect state. Scans remain paused until the owner reconnects, then resume automatically.
Receipts that arrived while scanning was paused are not lost from Gmail, but ExpenseBot may not have imported them. After reconnecting, the client can open any missed receipt emails in Gmail, apply the ExpenseBot label, and then click Find receipts in Gmail to process them.
