What an expense sheet is: a table with one row per purchase — date, merchant, amount, category, payment method and a note — that totals by category, so you can file taxes or bill a client straight from it.
Sheet vs report vs spreadsheet (these get used interchangeably and are not the same):
- Expense sheet — the running log you keep all year. This is the underlying record.
- Expense report — a summary produced from the sheet for a period or purpose (reimbursement, a client, year-end). It should be a formula over the log, not a retyped copy.
- Expense spreadsheet — the file format the sheet lives in (Google Sheet or Excel workbook). It is the container, not a third method.
The columns to use: Date · Merchant · Amount · Currency · Category · Payment method · Business use % · Notes · Receipt link. Business use % is the column most homemade sheets skip and the one that decides how much of a mixed personal/business expense can actually be claimed — a phone bill at 60% business use is not a 100% deduction. Currency matters too: omit it and a single foreign purchase silently corrupts the totals.
Useful formulas (header row in row 1; dates in A, amounts in C, categories in E):
- Category total:

These are standard spreadsheet syntax and work identically in Excel. The download is an .xlsx file, so it opens in Excel as well as Google Sheets.
Where templates actually fail: not the maths — the entry discipline. Every row exists only because someone typed it, and the rows that never get typed are the small ones (parking, app subscriptions, client coffees) that add up to a real share of the deduction. That is a capture problem, not a spreadsheet problem, which is why more columns never fix it.
