Where are my team's expenses and reports?

Each teammate keeps their own expense spreadsheet. A team seat or co-admin invitation does not automatically combine all teammates' receipts into your personal Review expenses list. An empty personal list does not prove that your teammates have failed to upload receipts or connect Gmail.

Choose the workflow you need:

  • Review a teammate's expense report: the teammate creates a report and includes you under Will be shared with, or opens My Reports → Share on an existing report and adds you. Use the secure report link in your email to open that specific report. See Sharing reports for approval. Report sharing is separate from assigning a team license.
  • Review company-card reconciliation: open Team Management → Push Settings, choose Corporate Card, then use View Team Dashboard. This is the card-to-receipt reconciliation workflow, not a combined list of everyone's master-sheet expenses. See Corporate Card setup.
  • Inspect an access problem: identify whether you need a shared report, company-card reconciliation, or access to someone's full expense sheet. Verify the relevant sharing/access state rather than assuming co-admin status grants every kind of access. If a report was shared but its link still fails, contact support@expensebot.ai with that access problem.

Do not claim there is a universal "shared workspace" switch or that everyone's receipts automatically appear alongside the administrator's own expenses. Do not tell a team admin to change to an Accountant role to solve report visibility. Never claim to have inspected account permissions or report counts unless an authorized tool actually returned those facts.
