Business Receipts in Personal Email: How to Track Them Without Mixing In Personal Spending

Signed in with a work address while hotel, airline and Amazon receipts land in your personal Gmail? You don't need a second account.

You log in to ExpenseBot with your work address, but the hotel folio, the airline e-ticket and the Amazon order for a new keyboard all arrive in your personal Gmail, next to your groceries and streaming bills. Here is how to get those business receipts into your records without letting your personal spending come along.

You don't need a second account. Keep your work login and either connect the personal Gmail so its receipts are scanned, or verify the personal address and forward only business receipts to receipts@expensebot.ai. Why business receipts end up in a personal inbox

It usually isn't a mistake on your part. A few common reasons:

  • Travel loyalty profiles. Your hotel, airline and car-rental accounts were set up years ago with your personal address, so every confirmation and folio goes there.
  • Shopping and app-store accounts. Amazon, the App Store and Google Play send receipts to whatever address the account uses, even when the purchase was for work.
  • Subscriptions older than the job. Software you started paying for before you worked for yourself or joined the company still bills your personal email.
  • A work address that isn't Gmail. If your company runs on another mail system, receipts you want scanned may only ever reach a personal Gmail.

Option 1: connect your personal Gmail for automatic scanning

This suits you when a lot of business receipts reach the personal inbox, or when you want past receipts found too.

  1. On the Add Expense tab (Expense on mobile), choose Scan Gmail for receipts & income.
  2. In the Gmail Receipts window, choose Add Gmail, then Continue to Google.
  3. Sign in with your personal Gmail and approve access.

A few things to know before you connect:

  • It needs paid access: a subscription, a paid trial, or a seat on a company team plan. On a free trial, Add Gmail shows a crown and opens the upgrade options.
  • Up to 3 Gmail accounts in total, and your login counts as one of them.
  • An address with its own ExpenseBot account and spreadsheet has to be reset before it can be linked to yours.
  • Nightly scanning is per inbox. To scan the personal Gmail only when you ask, open Settings → Automation Hub → Manage automations and turn it off under Gmail accounts scanned nightly.
  • Past receipts can be picked up with a historical scan of the connected inbox. Past years are priced separately; see pricing.

Keep personal purchases out of your business records

A personal inbox is full of personal receipts. Two settings keep them out of your spreadsheet.

1. Personal expense rules. Open Settings → Personal expense rules → Set up personal rules. A short wizard asks about your personal cards, Amazon purchases, streaming services and personal trips, and tags matching receipts Personal. At the end it asks Keep Personal receipts out of Gmail scans? Choose Yes, skip Personal. That applies to every Gmail connected to your workspace, including ones you add later.

2. Skip rules. In the Gmail Receipts window, open Skip rules. Turn on Skip Personal expenses, which skips a receipt whose Tag or Expense Category is Personal, and add a Merchant, Category or Tag rule for anything that is always personal, such as your grocery store. A skipped email gets the Gmail label ExpenseBot-Excluded and never reaches your spreadsheet. Nothing is deleted from your inbox.

Both settings apply only to receipts found by the Gmail scan. Receipts you forward or upload are always added, because sending them was your decision. If personal rows are already in your sheet, clean them up with Review expenses (Personal or Omit) rather than deleting rows. Option 2: forward only the receipts you choose

This suits you when only the odd business receipt lands in the personal inbox, when you don't want that inbox scanned at all, or when the personal address isn't Gmail.

  1. Open Settings → Forwarding Addresses and choose Add. Enter your personal address.
  2. ExpenseBot emails a verification link to that address. Click it within 24 hours; the address isn't active until you do.
  3. Forward any business receipt from that address to receipts@expensebot.ai. It is added to your spreadsheet.
  4. To check what arrived, open the Add Expense tab and choose Forwarded receipt activity in the Email receipts panel.

Nothing else in that inbox is read; ExpenseBot only sees what you forward. You can verify 2 forwarding addresses on the free trial and 6 with paid access.

The mistake that silently loses forwarded receipts

Mail to receipts@expensebot.ai from an address that isn't your login or a verified forwarding address is archived with no reply. You won't get a bounce or an error, so it can look as though the receipt simply vanished.

This catches people who connected their personal Gmail for scanning in Option 1 and then forward a receipt from it. A Gmail connected for scanning is not automatically a forwarding address. If you want to forward from it as well, add it under Forwarding Addresses too; the same address can be both on one account.

ExpenseBot does not guess who a forwarded email belongs to. It matches the sender to an account, and if there is no match, the email is not added anywhere.
