ExpenseBot supports two reviewed handoff paths: direct integrations for supported accounting platforms, and an import file for other platforms. In both paths, create and review the ExpenseBot report first.
Send a report to accounting software
- Open My Reports.
- Choose Create a Report if the expenses are not already in a report. Select the period or group, review the preview, and create it.
- Open the report card and expand Accounting.
- For a direct integration, choose the accounting platform, connect it if needed, review the destination and mappings, then confirm the push.
- For another platform, choose Create an Import File, select the platform and file type, review the preview, then download the file and import it using that platform's import screen.
Package-specific import files are available for QuickBooks Online, Xero, Zoho Books, Sage 50 Canada, Sage 50 USA, Sage Intacct, NetSuite, FreshBooks, and Microsoft Dynamics 365 Business Central. The file screen also offers Generic CSV, Generic Journal Entry, and Multi-currency Journal Entry, plus supported bill or purchase-invoice variants for Sage 50 and Sage Intacct. Sage Intacct, NetSuite, FreshBooks, and Business Central file workflows are marked Beta while broader customer use is validated. For a beta format, import a small test range first and check the accounting application's preview before completing the import. If anything does not work, email support@expensebot.ai with the package and what happened; ExpenseBot will investigate it the same day.
If your accounting package is not listed, tell ExpenseBot chat or your connected AI assistant its exact name. After you approve the request, ExpenseBot records it, alerts Rob with your authenticated account, and emails you within one week with an update.
ExpenseBot maps report categories to the G/L accounts configured for the destination. Review mappings before the final push or file download. Rows marked Omit stay in ExpenseBot for an audit trail but are excluded from accounting handoffs.
Chat can inspect existing reports and open the exact report's reviewed accounting handoff. If no report exists, it can take you directly to Create a Report. It must not claim an export happened merely because it opened that screen.
Send a report to an accountant
- Open My Reports and create or open the report.
- Choose the Email control on the report card.
- Enter the accountant's email address and send the report.
The recipient can review the shared report from the email link. Sending a report to an accountant is different from posting it to an accounting platform.
