Invite a client from Accountant dashboard → Invite Clients. Choose whether the client will pay for their own ExpenseBot plan or your firm will pay for them, then send the invitation.
After the client accepts:
- The client connects their own Gmail. Inbox access is private, so the accountant cannot connect it for them.
- You can act for the client. Use the client switcher in your accountant dashboard to open their ExpenseBot workspace without using their password. You can review captured expenses, correct tags and categories, create reports, and complete supported accounting handoffs.
- Set up G/L accounts when your chart is ready. The client row shows the next G/L step. Open Settings → G/L Accounts, choose your chart or accounting profile, select the client, and confirm the push. ExpenseBot never pushes a chart automatically just because a client accepted an invitation.
Billing: when “Pay for client” appears
Pay for client is offered only when an accepted client is in a trial or has no active ExpenseBot coverage. It is hidden when the client already pays for their own plan, is covered by an employer, Enterprise plan, or Executive Assistant, or is already sponsored by you or another accountant.
Report access is not automatic
An accepted accountant relationship gives you acting-for access to the client's workspace. It does not automatically add every client report to your normal report inbox.
- A report appears in your accountant report list when the client explicitly shares that report with you.
- Settings → Default report sharing can preselect you on future reports. It does not share old reports retroactively, and the client can remove you from an individual report before creating it.
- Removing you from one report removes access to that report only. It does not disconnect the accountant relationship.
This distinction lets an accountant help inside the client's workspace while the client still controls which reports are routed into the accountant's report-review list.
