Upload an invoice you sent and ExpenseBot reads the client, invoice number, dates, total and GST/HST for you.
- Open the Add Income tab and select Log income.
- Choose From an invoice you sent and upload the PDF or a photo.
- Check what ExpenseBot read: client, invoice #, issue date, due date, total, GST/HST and currency. Fix anything that's wrong.
- Choose one:
- Track as unpaid invoice: it appears in Client invoices as open, and as overdue once its due date passes.
- Already paid — add to income: tick Already paid, set the paid date and payment method, and confirm. The income form opens with the client, amount, invoice # (as Reference #) and GST (as Tax collected) filled in. Select Save Income.
- When an unpaid invoice is paid, open Client invoices and select Mark paid. Set Paid on and Payment method and leave Record this payment in Income ticked. ExpenseBot adds the income row with the client, invoice # and GST, and marks the invoice paid.
If your bank is connected, a deposit that matches an open invoice is suggested when you match deposits to income. Confirming it records the income with the invoice's client, number and GST.
You can also email the invoice PDF to receipts@expensebot.ai. Add your business name in Settings → Billing Profile first so ExpenseBot recognises invoices you sent; they then appear in Client invoices with their GST.
ExpenseBot warns you if the same invoice # for the same client is already tracked.
