Create a Tag with an AI description and let ExpenseBot do the matching automatically — even when the same product comes from a dozen different merchants.
Example: A farmer buys propane from Costco, Clearview Co-op, Penner Farm Services, and other stores. His accountant needs every propane receipt at tax time, but they're spread across dozens of different merchants and mixed in with other purchases from those same stores.
Set it up once
- Go to Settings → Tags → Manage Tags
- Add a tag called "Propane"
- In the "Clues for AI" field, enter: "Any receipt containing propane purchases, propane tank refills, or LP gas"
- Click Add, then Save Changes
How it works
When ExpenseBot processes a Costco receipt with "PROPANE LITR" in the line items, it reads the full receipt, matches it against your tag description, and assigns the "Propane" tag automatically — even though the merchant is Costco and the receipt also contains other items. The same happens for a Clearview Co-op propane fill or a Penner Farm Services LP gas purchase. Different stores, same tag.
Pull the report
Open your spreadsheet, filter the Tag column for "Propane", and hand your accountant the exact list they need. No searching, no scrolling, no remembering which stores sell propane.
Works for any product or use case
The same approach works for anything you buy across multiple merchants:
- "Lumber" — "Any receipt containing lumber, plywood, dimensional wood, or building materials"
- "Animal Feed" — "Any receipt containing livestock feed, hay, straw, or cattle supplements"
- "Safety Equipment" — "Any receipt containing PPE, hard hats, safety glasses, or work gloves"
Three more ways to tag (optional safeguards)
The AI handles it automatically, but you can also assign tags manually:
- Handwriting: Write Tag: Propane anywhere on the physical receipt — ExpenseBot reads it
- App: Select "Propane" from the Tag dropdown when submitting a receipt
- Spreadsheet: Click any cell in the Tag column (column K) to pick from your configured tags
Edit descriptions anytime
You can also edit your tag descriptions directly in the Tags tab of your spreadsheet — column B ("Clues for AI"). This works the same way as "Instructions for AI" on Expense Categories.
