Get Every Receipt for the Quarter — Ready for VAT, Audit, or Year-End

When filing a VAT return or pulling together an audit pack, the last thing you want is to hunt through Gmail for receipts you already extracted. ExpenseBot keeps every receipt in a Drive folder named and dated by the actual transaction date — sortable, filterable, downloadable as a zip for the exact period you need.

The Drive Folder Problem Most Tools Create

Other tools dump PDFs with generic names — "receipt 1," "Email_Receipt_for_purchase.pdf" — and the file's modified date is when it was uploaded, not when the receipt was issued. Sorting Drive by date is useless for period-based work. At VAT quarter-end or audit time, your accountant is scrolling through hundreds of identically-named files all dated "today."

ExpenseBot's approach: each receipt PDF is named with its actual transaction date — 2026-02-04 NTWRX SI-018.pdf — so Drive search by date range works, and sorting by filename groups receipts chronologically without any additional effort.

One-Click Download for Any Period

📅

Pick a Period

Select a date range: VAT quarter, fiscal year, last 6 months, or any custom window. Pulls every receipt with a transaction date in that period — not upload date.

📦

Get a Sorted Zip

Single zip with every PDF named chronologically, ready to attach to your VAT submission, send to your accountant, or store as audit-pack evidence.

🗂

Or Browse in Drive

Every file already named and tagged by receipt date. Drive's search and sort actually work — search "2026-Q1" and get exactly those receipts.

Built for Periodic Accounting Work

UK VAT quarter-end

One zip per quarter, named files in date order, ready to attach as supporting documentation for HMRC. MTD VAT compatible as supporting docs — not direct filing. When HMRC or your VAT agent asks for "all receipts for Q2," the zip is ready in one click.

Audit pack

When HMRC or the IRS asks for "all receipts for Q2 2024," you have a chronological folder structure — not a week-long assembly exercise. Every receipt named with the date the transaction happened, not the date you uploaded it.

Year-end Schedule C / T2125 / accountant handoff

Hand your accountant a single zip with every business receipt for the tax year, properly named. CRA and IRS compliant record format. Works for Canadian GST/HST quarter-end too — date-based organization is destination-agnostic.

How It Works

  1. 1
    Connect Gmail

ExpenseBot extracts receipts automatically — up to 6 years of history on first run. No forwarding rules, no manual uploads.

  2. 2
Every receipt is named and dated by transaction date

Each PDF lands in your Drive as "2026-03-15 Tesco £42.18.pdf" — named by when the purchase happened, not when you uploaded it. Drive search and sort now work for period-based accounting.

  3. 3
Pick a period, download the zip

Select the date range in the dashboard and download — or jump straight to Drive and use Drive's native search. Everything in chronological order, ready for HMRC, IRS, CRA, or your accountant.

Frequently Asked Questions

Does this work for UK VAT / Canadian GST / US Schedule C?+

Yes — date-based organization is destination-agnostic. Use for any period-based tax event.

What about MTD for VAT? Can I attach the zip to my MTD filing?+

ExpenseBot doesn't file VAT directly today, but the zip is in the standard format any UK accountant or VAT software accepts as supporting documentation. Direct MTD filing is on the roadmap.

I have years of historical receipts in Drive with old naming. Will those be renamed?+

Going forward, every new receipt gets the new naming. A one-time backfill on your existing folder is available — opt in from Settings.

Can I include only certain categories in the period download?+

Yes — filter by tag, category, or any combination before downloading.

What format are the filenames?+

"YYYY-MM-DD Vendor Amount.pdf" — ISO date prefix so they sort correctly in any file browser.

How far back does it go?+

ExpenseBot scans up to 6 years of Gmail history on first run. If receipts are older, you can upload PDFs directly.

Can I share the zip directly with my accountant?+

Yes — download the zip and attach it to an email, or share the Drive folder link directly. Drive folders are in your own Google Drive, so you control sharing.

Does this replace dedicated VAT software?+

No — ExpenseBot organizes and exports your supporting receipts. Your VAT return itself is still filed through your accountant or MTD-compatible software (HMRC's Making Tax Digital gateway, FreeAgent, etc.).
