Can ExpenseBot import receipts I saved in Apple Notes?

ExpenseBot can't import an Apple Note itself, but it can process the receipt photos and scanned PDFs inside it. Pick the path that matches how the receipt is stored.

Receipt photos in your Photos library

This is the fastest way on an iPhone or iPad.

1. Set up the free ExpenseBot Apple Shortcut once. In ExpenseBot, open Settings (the gear icon), go to Integrations → Apple Shortcut, choose Download Shortcut, then Show My Shortcut URL and Copy URL. Paste the URL when the Shortcut asks for it. The Apple Shortcut setup guide walks through it.
2. In Photos, select the receipt photos.
3. Tap Share, then the Scan Receipts shortcut.

The photos go straight to your ExpenseBot spreadsheet. If a receipt photo exists only inside the note, open the note, tap the photo, tap Share → Save Image to put it in Photos, then use the steps above. The Shortcut accepts images only, so use the next path for PDFs.

Documents you scanned with Notes (PDF)

When you use Scan Documents in Apple Notes, the note stores the scan as a document you can save as a PDF.

1. In the note, open the scanned document.
2. Tap Share → Save to Files.
3. In ExpenseBot, open the Add Expense tab (Expense on mobile) and choose Upload Receipts, then Select Receipt Files and pick the PDF from Files.

Upload Receipts accepts JPG, PNG, HEIC and PDF files up to 20 MB each, and you can select several at once.

Receipt files already in Google Drive

If you already moved the receipt files into a Google Drive folder, including a folder someone shared with you:

1. On the Add Expense tab, choose Import Receipts from Drive.
2. Browse My Drive, Shared with me or Shared drives, open the folder and select the receipt files. You select files, not the whole folder.

Drive import accepts JPG, PNG, HEIC and PDF files. On an iPad, if Safari blocks the Google Drive picker, use Upload Receipts → Browse → Google Drive instead.

Going forward

To skip Notes entirely, take receipt photos with your camera and share them to the Scan Receipts shortcut, or use Take Photo of Receipt on the Add Expense tab. Emailed receipts can be picked up automatically from Gmail or forwarded to receipts@expensebot.ai.
