I uploaded my chart of accounts and some accounts are missing. Why?

ExpenseBot reads every account in the file you upload, then decides which ones can be used for coding a purchase. Nothing is silently thrown away — accounts that cannot be used are shown dimmed, not removed.

What gets selected, what is available, what is dimmed

  • Expense and cost-of-goods-sold accounts are imported and selected for you. Nearly every receipt codes to one of these.
  • Fixed asset and current asset accounts are imported and available — select them if you code capital purchases or prepaid items. They are not selected by default, because most purchases are not capitalized.
  • Bank, accounts receivable, accounts payable, income and equity accounts are shown dimmed and cannot be selected. A receipt is a purchase, so coding one to a bank or income account would produce an entry your accounting package rejects.

This works the same whether the file came from Zoho Books, QuickBooks, Xero, Sage, or a plain CSV — one shared parser applies the same rules to all of them.

If a specific account you need is dimmed

If an account you rely on is dimmed rather than merely unselected, its type in the source file is one we treat as non-postable for purchases. Contact support with the file and we will look at it.

If you imported before August 2026

Before August 2026, asset accounts were dropped on import entirely — four separate filters each stripped them. That is fixed: a single parser now keeps them. If you imported earlier and your capital or asset accounts are missing, import the file again and they will come through.
