How do I give my executive assistant access to ExpenseBot?

Account owners can invite an assistant without sharing passwords or Gmail credentials. An assistant can also invite the account owner to approve access. Either way, the assistant works through their own ExpenseBot account.

1. Owner invites assistant

  1. Open Settings → Delegated access in ExpenseBot.
  2. Enter your assistant's email address.
  3. Send the invitation.

2. Assistant invites owner

If the assistant starts first, they should:

  1. Sign in to ExpenseBot.
  2. Choose Executive Assistant during onboarding, or turn on Also manage someone else's expenses in settings.
  3. Open Managed People.
  4. Invite the owner's email address.

The owner must approve the email invitation before the assistant can manage anything.

3. Accept the invitation

The invited person opens the invitation and signs in with their own ExpenseBot account, then accepts access. Nobody uses anyone else's login — do not share your password or Gmail credentials with anyone, including your assistant.

4. What your assistant can do

With delegated access, your assistant can:

  • Submit receipts on your behalf
  • Work with your expenses
  • Create expense reports for you

The delegated-access screen shows exactly what an invited assistant can do — capabilities are limited to what's listed there, not unrestricted account access.

5. Manage access

Settings → Delegated access lists active and pending invitations. Revoke access there whenever it's no longer needed — for example, when an assistant changes roles.

6. Delegated access vs. the executive-assistant persona

You may see "executive assistant" as a role during onboarding or in settings — that's for someone who manages another person's expenses day to day. Selecting a persona is not a prerequisite for delegated access: the owner can invite an assistant directly from Settings → Delegated access at any time. Delegated access is an account relationship (owner grants, assistant accepts), not an industry persona or an expense category.
