How does ExpenseBot work for Google Workspace companies?

ExpenseBot works with Google Workspace to turn receipts from authorized Gmail accounts into reviewable expense records in Google Sheets, with the durable receipt files, spreadsheets, and reports it creates stored in each user's Google Drive.

For Workspace administrators: install or allow ExpenseBot from Google Workspace Marketplace for selected groups or organizational units, review the requested permissions, and mark the app trusted under API controls when organizational policy requires it. Each employee still signs in with Google and connects their own account.

For team owners: invite employees, assign paid seats, and push supported settings such as the accounting email, G/L accounts, project tags, mileage rates, and travel-meal policies. Team owners can also assign existing company cards to employees for receipt matching and missing-receipt follow-up. ExpenseBot does not issue cards or create bank spending limits.

ExpenseBot extracts available receipt details and suggests categories or G/L codes. Employees review uncertain and action-needed items before creating reports or supported accounting handoffs. The first Gmail connection includes a 60-day scan; scheduled Smart Scanning requires an active trial or subscription and must be enabled.
