ExpenseBot uses a one seated product model — the owner is seat 1, and additional seats are teammate seats. Two or more seats turns on team management automatically.
To add your team: open Settings, find the Invite your team to ExpenseBot card, and click Add teammates (older accounts not yet on seat-based billing see this button as Upgrade to Teams instead). Choose how many seats to buy ($10/seat/month or $100/seat/year), pay, then invite each teammate by email. Once you have 2+ seats, License Manager appears in your sidebar — assign seats there, and add more seats later with Manage Team Seats.
The 60-day team trial starts without a credit card and does not automatically become paid. A team owner can open License Manager → Set up billing during the trial to save a card. When checkout is completed more than 48 hours before the trial ends, Stripe schedules the first charge for the trial end; close to or after expiry, billing may start immediately. ExpenseBot shows the billing state and trial-end date to the owner. If billing is not set up by expiry, team access pauses, but every user's spreadsheet and receipts remain in their own Google Drive.
While the team trial is active, accepted teammates can upload receipts, PDFs, and photos, and accepted co-admins can manage the owner's team in License Manager. Co-admin access follows the owner's team trial or subscription; it does not depend on the co-admin buying a separate personal plan. Billing reminders and subscription controls are shown to the billing owner.
As a Team Admin (Employer), you can toggle between your own Expenses view and the Licenses management view using the mode switcher at the top of the page. From Licenses mode, you can assign seats, sync G/L accounts and tags across your team, and view team spending insights. Team billing uses the published flat per-seat rate.
