You don't need a second ExpenseBot account. Keep your work login and choose one of two ways to bring in the receipts from your personal Gmail. You can also use both.
Option 1: Connect your personal Gmail so it's scanned automatically
Best when a lot of business receipts land there, for example because your hotel, airline or car-rental profiles use your personal address.
- On the Add Expense tab (Expense on mobile), choose Scan Gmail for receipts & income.
- In the Gmail Receipts window, choose Add Gmail, then Continue to Google, and sign in with your personal Gmail.
- Keep your personal spending out of your business records. Open Settings → Personal expense rules → Set up personal rules. The short wizard asks about your personal cards, Amazon purchases, streaming services and personal trips, and tags matching receipts Personal. At the end, answer Keep Personal receipts out of Gmail scans? with Yes, skip Personal. That applies to every Gmail account you connect, including ones you add later.
- Fine-tune with Skip rules in the Gmail Receipts window. Turn on Skip Personal expenses, and add a Merchant, Category or Tag rule for anything that is always personal, such as your grocery store. A skipped email gets the Gmail label ExpenseBot-Excluded and never reaches your spreadsheet. Nothing is deleted.
Receipts from the personal inbox go into the same ExpenseBot spreadsheet, and the Notes column shows Inbox: <email> so you can tell where each one came from. To scan that inbox only when you ask, open Settings → Automation Hub → Manage automations and turn it off under Gmail accounts scanned nightly.
Connecting more than one Gmail needs paid access: a subscription, a paid trial, or a seat on your company's team plan. You can connect up to 3 Gmail accounts in total, including your login. On a free trial, Add Gmail shows a crown and opens the upgrade options. If your personal Gmail already has its own ExpenseBot account with a spreadsheet, that account has to be reset before the address can be linked.
Option 2: Forward only the receipts you choose
Best when only an occasional business receipt reaches your personal inbox, or when you don't want ExpenseBot reading that inbox at all.
- Open Settings → Forwarding Addresses and choose Add. Enter your personal address.
- ExpenseBot emails a verification link to that address. Click it within 24 hours; the address isn't active until you do.
- From then on, forward any business receipt from that address to receipts@expensebot.ai. It's added to your spreadsheet, and nothing else in that inbox is read.
- To check what arrived, open the Add Expense tab and choose Forwarded receipt activity in the Email receipts panel.
You can add 2 forwarding addresses on the free trial and 6 with paid access. Forward from an address you've verified: mail to receipts@expensebot.ai from an address that isn't your login or a verified forwarding address is archived without a reply. That includes a Gmail you connected for scanning in Option 1, so add it under Forwarding Addresses too if you also want to forward from it.
Which should I choose?
- Many business receipts in the personal inbox, or you want past receipts too: Option 1. A connected inbox can also get a historical scan.
- A few receipts now and then, or you want the personal inbox kept private: Option 2.
Skip rules and the Skip Personal setting apply only to receipts found by the Gmail scan. Receipts you forward or upload are always added, because sending them was your decision.
