  1. A receipt or invoice arrives in your Gmail.
  2. Overnight, ExpenseBot reads it — you do not forward, tag or file anything.
  3. Vendor, date, tax and total are extracted and a category is assigned.
  4. A row is written into a Google Sheet in your own Google Drive, with a link back to the original document.
  5. Anything the extraction is not confident about is flagged for review rather than guessed at.

Paper and cash receipts join the same loop by photo. Receipts that land in a different inbox can be forwarded in.

What it is, and what it is not

This is spend capture and categorisation. It is not a general ledger, there is no double-entry behind it, and it does not file anything with a tax authority. ExpenseBot feeds an accounting system rather than replacing one — there is one-click export to Xero and QuickBooks.

Can AI replace a bookkeeper?

No, and we do not claim it does. It removes the data-entry part of the job. Judgement calls, reconciliation and filing still need a person. Many customers run ExpenseBot alongside their bookkeeper, who gets access to the same sheet free — there is no per-seat licence for them.

Where AI helps, and where it does not

Helps: reading receipts (typed emails, PDF invoices, clear photos); categorising the same vendor the same way every time; surfacing receipts buried in an inbox that you would never have gone looking for; keeping up in a month when you had no time.

Does not help: deciding whether something is deductible; reconciling a bank feed you have not connected (ExpenseBot works from documents, not bank statements); anything needing a professional opinion; cash purchases with no receipt and no photo. ExpenseBot captures and organises the records — it does not determine what you are entitled to claim. Estimates — confirm with your tax professional.

Is it accurate?

Extraction is reliable for standard receipts. Anything unclear is flagged for review rather than guessed, so a bad read surfaces as a row you check instead of a wrong number you never see. We do not publish an accuracy percentage.

Your data lives in a Google Sheet in your own Drive — you own the file, it opens without ExpenseBot, and it stays yours if you stop paying.
