Expense management software for a small business captures receipts, categorises the spend, and produces records an accountant can work from — without anyone typing rows by hand. Stripped of category language there are four jobs: capture, categorise, report, hand off.

Where the data lives — the differentiator
Most expense tools hold your data on their own servers and give you an export button to get a copy back. ExpenseBot writes to a Google Sheet in your own Google Drive. That one structural choice changes several things:
- If you cancel, the sheet is still in your Drive and still opens. There is nothing to retrieve.
- Your accountant opens the same sheet. Their access is free — no seat to buy.
- Access control is managed by your Google Workspace admin, alongside every other company file, rather than inside a separate vendor permission model.
- Custom analysis is whatever a spreadsheet can do — pivot it, chart it, add formulas — instead of only what a reporting screen offers.
If you already run Google Workspace
Most of the pieces are already in place: receipts are arriving in Gmail today, they are just not being read by anything. There is nothing new to deploy, no new store of company data, and no additional sign-on to manage — people sign in with the Google account they already have. Honest limits
Cash receipts need a photo. Ambiguous items — a mixed personal-and-business purchase, an unfamiliar vendor — are flagged rather than guessed at. ExpenseBot does not file anything for you, and there is no forecasting or budgeting layer: it tracks what was spent, not what will be. It is spend capture and categorisation, not a general ledger and not an invoicing suite.
