ExpenseBot is an expense tracker built for German Freiberufler and Selbstständige. It auto-scans Gmail for Belege (receipts) from German merchants like Amazon.de, Deutsche Bahn, REWE, dm, and MediaMarkt, then categorizes them to EÜR Betriebsausgaben line items — Reisekosten, Bürokosten, EDV/Software, Werbekosten, and more.
Vorsteuerabzug tracking: ExpenseBot extracts 19% and 7% Umsatzsteuer amounts from every receipt automatically. If you're USt-pflichtig, your quarterly USt-Voranmeldung totals are ready without manual calculation. Kleinunternehmer (below €25,000 Umsatz) are supported too — Vorsteuer is shown as informational only.
Fahrtkosten: The mileage tracker applies the German Kilometerpauschale — €0.30/km for Dienstreisen (business travel), and €0.30/km for the first 20km / €0.38/km beyond 20km for Pendlerpauschale. Import client visits from Google Calendar with automatic distance calculation via Google Maps.
EÜR export: Year-end output is a Google Sheet with all Betriebsausgaben organized by category, Vorsteuer totals by rate (19%/7%), and every original receipt image linked. Hand it to your Steuerberater for ELSTER filing — or use it yourself for Anlage EÜR.
Belegaufbewahrungspflicht: All receipt images are stored in your Google Drive with original timestamps, supporting the 10-year retention requirement under § 147 AO.
