Forward the receipt to receipts@expensebot.ai, then open ExpenseBot and select View receipt activity under Email a receipt on the home screen.
Recent vs. Needs attention
The activity view has two tabs:
- Recent shows your latest results — receipts that were added, ones that were already in your spreadsheet, documents that weren't added, submissions still processing, and any that will be retried.
- Needs attention shows only items where you can take a meaningful action. Duplicates and routine skips don't appear here just because they weren't added.
What the statuses mean
| Status | What it means | What to do |
|---|---|---|
| Added successfully | One or more expenses were written to your spreadsheet | Nothing |
| Partly added | Some items were added and another was skipped or needs review | Read the card; act only if a review action is offered |
| Needs details | ExpenseBot received the document but couldn't safely determine enough transaction details | Enter the missing details or mark it as not an expense |
| Already added | The receipt matched an expense already in your spreadsheet | Nothing — don't forward it again |
| Not added | The message didn't contain a confirmed paid expense | Nothing unless a review action is shown |
| No receipt found | No usable receipt or transaction details were found | Check the original email or submit the document another way |
| Processing | ExpenseBot is still working on the submission | Wait and refresh |
| Retry pending | Processing didn't finish and ExpenseBot will try again without adding the same receipt twice | Wait and refresh; contact support if it stays stuck |
Completing an item
When an item is under Needs attention, you have three actions:
- Enter missing details opens the expense form with the forwarded document attached, so you can supply or correct the transaction details and save it to your spreadsheet. The form is pre-filled only when ExpenseBot could extract usable fields.
- Not an expense resolves the item without adding a spreadsheet row — good for quotes, unpaid invoices, statements, and other material you don't want recorded.
- Open receipt page appears when the receipt is behind a sign-in or download link, so you can open it and sign in if needed.
Who forwarded it
New activity records can show the email address that forwarded the submission (for example, "From partner@example.com"), which helps when several people forward receipts into one account. Older activity may not show a sender because that detail wasn't recorded at the time.
Why an older item might be missing
This view is a practical recent-activity tool, not a permanent ledger. It shows recent submissions with a trustworthy result or useful review information, and covers only email sent to receipts@expensebot.ai — not receipts found by Gmail scanning, Google Photos, Drive imports, or in-app uploads. Your Expenses spreadsheet remains the final record of expenses that were added; check it before adding an old item again.
