Create Expense Report

Required: Source Event ID, Report Title, Start Date, End Date. The range is inclusive and the end must fall on or after the start.

Optional filters:

  • Include Categories / Include Groups or Tags — exact ExpenseBot names, comma separated. Blank includes every eligible one.
  • Exclude Personal — defaults to Yes. Leave it on unless the report deliberately includes personal-categorized expenses.
  • Other Categories to Exclude / Other Groups or Tags to Exclude — exact names, comma separated.

The names must match your configured categories and groups exactly. A typo silently narrows the report rather than erroring, so check the expense count on the result before delivering it.

What comes back

A Report ID, a Report URL, and Safe Retry Replayed. Deliver the Report URL — email it, post it to Slack, attach it to a client thread.

A Bill Client URL is returned only for the reviewed client-advance handoff. Billing is a deliberate step, never an automatic one; do not wire it into an unattended path.

Find Report

Give it distinctive full or partial title text. It checks up to the 100 most recent reports and returns the report ID, title, status, creation time, expense count, total, currency, and report URL. Distinctive titles make this reliable; "August" across three clients does not.

A monthly pattern

Zapier Schedule trigger on the first of the month → Create Expense Report for last month, filtered to one client group → email the Report URL to that client or to your accountant.

The boundary

A report is a package of reviewed expenses with a link. Creating one does not push anything into QuickBooks Online, Xero, or another accounting package — that stays a step you take deliberately. Downstream accounting platforms remain the accounting source of truth.
