ExpenseBot is built for Google Workspace teams that already use Gmail, Google Drive, and Google Sheets — and want to organize receipts, reconcile existing card transactions, and track income and expenses without switching to a corporate-card platform.
Keep your existing cards and bank accounts: ExpenseBot is not a card-issuing platform. It works with whatever bank accounts and credit cards your team already uses — Chase, Amex, Barclays, RBC, or any other provider. You do not need to switch card programs to get organized. Upload a CSV from your bank or card, and ExpenseBot matches transactions to Gmail receipts automatically.
Gmail receipt capture: ExpenseBot connects to Gmail and captures receipts automatically as they arrive. Each team member can connect their Gmail directly, or use a forwarding address to route receipts from any inbox. A historical scan can go back through the full Gmail history for each connected account.
Team workflow:
- Start solo, add teammates when receipt collection becomes shared
- Each member connects Gmail or uses a forwarding address
- Shared expense data lives in Google Drive Sheets
- Admin and accountant access by invitation
Accountant collaboration: Invite your accountant to the Google Sheet directly, or export CSV/PDF. Supports sync to QuickBooks, Xero, Sage 50, and Wave. Year-end exports include Schedule C (US) and T2125 (Canada) categories.
How it compares to corporate-card platforms: Ramp is excellent for companies that want to issue cards, enforce spend policies, and run AP automation. ExpenseBot is better when a team already has cards and bank accounts and needs receipt capture, transaction reconciliation, income tracking, P&L, and tax-ready Google Sheets records.
