What does the Payment Status column in my spreadsheet or report mean?

Payment Status is a readable Paid or Unpaid label based on the expense's recorded Receipt ID. It appears in supported master expense sheets and newly generated expense reports, including their CSV exports. It is a display of the recorded status, not separate evidence of payment.

Paid can include assumed-paid bookkeeping. Eligible autopay and established digital-subscription invoices may be assumed paid at capture. That does not prove a bank settled the charge. Check Notes for the recorded context, and see invoice capture and recurring-payment rules for the eligibility limits and failed, overdue or manual-payment exceptions.

Where the column appears

In the master expense sheet, ExpenseBot adds its display after the existing expense and custom columns rather than replacing them. It preserves a custom column you already named Payment Status instead of taking it over. Generated reports have their own appended Payment Status column.

Supported new-expense captures maintain the display after saving the expense. First-time setup can also populate recognized existing rows on eligible sheets, but this is not a guarantee that every historical row will be filled. Large existing sheets, manually inserted rows, unrecognized Receipt IDs or a display update that could not finish may leave the column absent or cells blank. A blank cell does not establish that an expense is unpaid or missing.

Changing the display is not recording a payment. Use the appropriate payment or bill-review action in ExpenseBot when one is available; do not edit this column as proof of payment or upload the expense again just to fill a blank. If you need help with an absent or incomplete display, contact support@expensebot.ai.

The separate Paid with nickname identifies a card or account for your reference. Editing that nickname does not change Payment Status or reconcile a bank transaction.
